Own the finance, admin and office heartbeat of one of the UK’s leading hospitality SaaS businesses

📍  Location: Hybrid – Sheffield office (4 days in the office)

⏱   Hours: 37.5 hours a week

💰  Salary: £27,000

As a Finance Assistant at Airship/Toggle, you’ll be the backbone of our day-to-day operations — sitting across finance, credit control, and office management while keeping the business ticking along. This is a varied, fast-paced role that touches almost every part of the business, and we need someone who thrives on that.

You don’t need years of experience behind you — but you do need to be someone who takes genuine ownership, spots what needs doing before being asked, and isn’t fazed by switching from chasing an overdue invoice to keeping the office running in the same breath.

What you'll do

Finance, Admin & Credit Control

  • Take ownership of the credit control function, working daily to reduce the debtors list, chasing overdue accounts via phone and email and escalating aged debt where appropriate.
  • Manage customer direct debits and GoCardless accounts, reconciling accounts and flagging discrepancies to the Finance Manager promptly.
  • Monitor the Accounts email inbox, ensuring queries are acknowledged and dealt with in a timely manner.
  • Log and process client contracts to relevant trackers and accounts software.
  • Carry out platform housekeeping, working closely with the Customer Success team to update customer statuses and contribute to internal management reports.
  • Support the Sales Team with administrative duties and queries relating to new and existing contracts.
  • Book travel and hotels as required.
  • Support the wider team with ad hoc administrative tasks as they arise.

Office Management

  • Take ownership of the day-to-day running of the office, ensuring it remains well-organised and a great place to work.
  • Order and manage office supplies, keeping stock levels on top.
  • Manage the internal drives and ensure all incoming documents are scanned and filed correctly.
  • Maintain accurate records across holiday approvals, the holiday calendar, sick and absence logs, and Cycle to Work scheme administration.

AI-First Ways of Working

  • Actively seek out and apply AI tools - particularly Claude - to improve efficiency across your day-to-day tasks.
  • Look for opportunities to automate repetitive admin, draft communications faster, and surface insights more quickly.
  • Help shape how we use AI as a team, sharing what's working and contributing to a culture of continuous improvement.
About you
  • Logistically minded - you have a natural affinity for systems, spreadsheets, and how things get from A to B.
  • Experienced with credit control, debt chasing, or accounts receivable — and you understand the importance of keeping on top of it daily.
  • Obsessively detail-oriented - you're the person who spots a missing digit in a spreadsheet or a typo on a print proof from a mile away.
  • A clear communicator with excellent spelling and grammar, comfortable talking to clients and internal teams by phone or email.
  • A genuine problem solver - you don't just flag issues, you investigate and fix them.
  • Adaptable and comfortable juggling multiple priorities and deadlines in a fast-paced environment.
  • Tech-savvy and highly proficient in Excel/Google Sheets, with experience using project management tools like Trello.
  • AI-curious and proactive: you don't wait to be shown how to use new tools - you explore, experiment, and find ways to work smarter.
